We are seeking a proactive and detail-oriented Vendor & Inventory Coordinator to oversee and streamline our procurement processes, vendor relationships, and inventory management. This role serves as a critical link between our operations team, on-site technicians, and external vendors, ensuring timely ordering, accurate inventory tracking, and resolution of transactional discrepancies through our ERP system. The role will also involve coordinating with carriers for circuit orders and communicating directly with customers to manage expectations and timelines.

Job Description

  •  Vendor, Carrier & Customer Coordination: Manage day-to-day ordering of equipment, materials, and services from approved vendors. Coordinate and maintain effective communication with vendors to ensure timely deliveries and order accuracy. Work directly with carriers to order and provision circuits, manage order statuses, and troubleshoot provisioning issues. Act as a liaison between carriers and customers to provide updates, clarify technical requirements, and confirm circuit delivery timelines. Negotiate pricing, delivery terms, and resolve any transactional disputes, including returns or damaged goods. Evaluate vendor and carrier performance and provide feedback to improve service quality.
  • ERP & Purchase Order Management: Create, track, and manage purchase orders (POs) through the company’s ERP system. Ensure all procurement activities are  accurately documented in the ERP system for reporting and audit purposes. Work closely with the Finance and Accounts Payable teams to resolve invoicing discrepancies and verify receipts. Ability to analyze and review vendor invoices and manage vendor disputes. 
  • Inventory Management: Monitor stock levels across locations and maintain optimal inventory levels to support operations. Coordinate inbound shipments, inventory transfers, and stock adjustments as needed. Maintain accurate inventory records and support periodic audits.
  • Cross-Department Collaboration: Collaborate with on-site technicians to understand material requirements and plan timely deliveries to job sites. Serve as a point of contact between field teams and procurement to fulfill operational needs. Support logistics and dispatch coordination when inventory or vendor delays impact scheduled field work.

            Key Qualifications

              • Advanced written and oral English skills - mandatory

              • Proven experience in procurement, inventory coordination, or vendor/carrier management.

              • Proficiency with ERP systems (e.g., Odoo, NetSuite, SAP, etc.).

              • Strong organizational skills and attention to detail.

              • Excellent communication and negotiation skills.

              • Strong attention to detail and accuracy in documenting incidents.

            Candidate's Profile

              • Ability to work independently and coordinate across departments in a fast-paced environment.
              • Experience in the telecom, IT services, or field service industries.

              • Familiarity with inventory systems and demand planning methodologies.
